Enable Membership Transfers by Customers 🌟

This new setting eliminates the back and forth when a customer wants to upgrade or change to another membership, giving you and your team precious time back. To enable, navigate to Settings > General Setup > scroll to Misc. account settings > toggle on 'Enable membership transfer by a customer.’

What Customers See 👀

From their customer dashboard, clients can find their live subscriptions under My memberships on the left hand navigation bar. From there, they can click the three dots next to an any membership to find the Transfer membership option.

Next, a pop-up will appear where they can select a new membership to transfer to on their next renewal.

Note that customers will only be able to see memberships that are toggled on to be Featured at checkout from your memberships page.

Once they’ve selected the new membership and saved, their profile will show a blue Transfer tag indicating that their new membership will begin on the next renewal.

Read on for details on how you can now create templates, upload attachments, add annotations and duplicate SOAP notes, bringing more ease and efficiency to your appointments! If you haven’t already activated, SOAP notes can be turned on under Apps & Integrations > App store > SOAP Notes.

Need a refresher on SOAP notes, and how they differ from regular client notes? Check out this article.

Create Note Templates

If you’ve ever found yourself rewriting the same outlines, or copying and pasting from a past client’s notes, you are in luck. You can now create Customer note templates, so you don’t have to recreate the wheel every time.

Under Settings > Customer note templates you have the option to Create new template, where you can customize templates based on what you and your team would find the most useful. When creating a template, you will also have the ability to upload documents that you commonly use for specific appointment types (more on that below).

Once a template(s) is created, you will find the Create from template dropdown option anytime you or your staff is creating a new SOAP note. You can create as many templates as you would like so that you can tailor them for specific use cases (i.e. you might have different attachments for physical therapy vs. acupuncture, or maybe you have a specific list of questions you like to ask when a customer is pregnant).

Additionally, you now have the ability to duplicate any note you create so that you can use the base of it for a new note if you don’t have a template saved for that appointment type yet.

Upload Attachments

As mentioned above, you can now upload attachments to your SOAP notes. This is especially useful when you have specific images for body parts that you and your team like to refer to. Or, possibly it could come in handy to upload an x-ray scan that a customer provides for their sessions with you.

Within any SOAP note (or note template) you will see the attachments section. You and your team have the ability to upload up to four images per note or note template.

If a note has something attached, you can easily see and click into the attachment(s) from the notes section of a customer’s profile.

Annotate Notes

An additional upgrade is the ability to annotate notes that have attachments. As you or your staff are working with a client and updating the details of their SOAP note, you will find the option to select, move, draw, write text or delete when you click on a specific attachment.

For example, let’s say you have a client who comes to you regarding pain in their right shoulder. The image below shows how you can use the draw tool to circle the section that you will be working on with the customer, so you and other staff know exactly which part of the body your notes are about.

Start editing your SMS Transactional Templates now under Studio set-up > Transactional templates > SMS.

Within this section, you will find all of the editable SMS templates, such as class and appointment confirmation texts for online and in-person and more. When you click into any of the individual templates, you will see the pre-written content that you can adjust to your liking, as well as the list of possible variables and the option to enable or disable the template.

There are a few brand new SMS Transactional Templates available today as well. Under the Sent to instructors tab, note that there are now texts sent to your instructors when a customer reserves an appointment (in-person and online), as well as a message to the teacher if an appointment with them is cancelled.

Introducing Lead Stages 💥

Lead Stages are a new visual tool that allow you and your team to get the full picture of what’s happening within your sales process. Within the Stages tab of your Lead management page, you will now find each of your lead stages broken into columns, with the contact cards of every lead who falls into that category shown below. This visual is helpful to get a grasp on which parts of your sales process need some extra attention to help move leads into the stage you want them in. For example, let’s say you have a pre-purchase stage, where a lead has been contacted, but has not purchased anything. This would be a part of your sales process that you would want leads in for the shortest amount of time possible, before moving into a customer. If you find that you have a long list of people in the pre-purchase column, that is useful to know so that you can add in extra 1:1 attention, or additional sequences in attempts to tighten up the flow.

Drag & Drop Lead Stage Change 💥

Within Lead Stages you will find a new drag and drop style tool that allow you and your team to efficiently move your leads across different stages. Stages can be set up and organized however you see fit, and we recommend aligning your stages with the steps of your sales process (i.e. certain actions or communications worth noting, such as “initial contact made” or “converted to customer”). The drag and drop feature is especially helpful if you have certain parts of your sales process where a team member makes 1:1 contact with a lead. For example, let’s say that you have a lead form on your website — the initial contact to form submissions is an automatic SMS message, and then there is a staff task to have a team member personally call the person. You might have a Lead Stage called “initial call complete,” and train your staff to drag a lead to this column once they make contact with the lead, or if they make a sale on the phone they can drag the lead to the “converted to customer” stage.

Reorganize Stages with Drag & Drop 💥

You can also reorganize the order and flow of your lead stages using the drag and drop functionality. If you want to rearrange, simply click and hold on the top of the column where it says the stage name, and drag it to where you would like it to appear.

New Sorting Options 💥

Within Stages you can also have the ability to sort your lists in different ways. Traditionally, leads are sorted based on the time they are created, however, you now have the option to sort by first or last name, email, last contacted, or creation time in either ascending or descending order. This allows your team to search and find particular leads quickly and efficiently from this new view.

💥 Business Insights — What’s New

Find these new compare to and aggregation filters within your Insights page (Analytics > Insights). Your Insights page has a variety of charts, graphs and analytical summaries of important numbers within your business, such as total sales, total visits, customer retention and more. You have the ability to view these numbers by different date ranges — daily, monthly, yearly, or any custom dates you choose. Now, you also have the option to choose what dates you want to compare these metrics to (i.e. previous period, previous month, etc) and how you want the numbers aggregated (ie daily, weekly or monthly).

💥 Compare To Filter

After you select the date range you want to view your insights for, you can now select what you want to compare to. For example, let’s say you are pulling your insights for last quarter to see how your numbers changed throughout a 3 month period. You could choose to compare to the previous year or previous period. The previous period would give you the quarter before, or the previous year would give you year-over-year numbers.

💥 Aggregation Filter

Next, you have the ability to select the Aggregation that you’d like to view your numbers by. This allows you to see your metrics in a more digestible and effective way, depending on that range you pulled. For example, if you selected the date range of last year, you likely want to see your total numbers grouped by month, versus seeing the daily stats. Whereas if you were pulling just one month’s numbers, a daily or weekly aggregate might be more helpful.

💥 How to Read the Numbers

Once you’ve set the date range, compare to and aggregation filters, all of the insights will pull based on your selection. You can easily hover over any point within one of the graphs or tables to see the specifics. For example, the graph below shows the total sales numbers based on the range of last 365 days, with a comparison to the previous year and an aggregation of monthly. You can see that we have hovered over one of the spots on the graph to see the month of September for this year, and the comparison to the previous year (dotted line) as well as the percentage change (46% increase in this case).

To begin using the new Insights filters, navigate to: Analytics > Insights from your dashboard!

🌟 What are Tuition Ledgers?

Tuition ledgers are a billing tool that allow you to group specific courses or semesters together throughout a specific time period. The grouping of these courses or semesters enables you to create discounts based on signups (i.e. number of semesters booked, number of children booked, etc) and allows you to schedule installment dates for payments, so customers do not need to pay a total upfront. Plus, the system will account for cancellations, late signups, or any other changes and automatically adjust the customer’s scheduled payment amounts accordingly.

Especially useful for dance studios where you adjust the pricing based on the number of classes (or hours) someone signs up for in a semester, or the number of children registered together. Tuition ledgers allows for all of these details to be set up and handled on the back end, so you don’t have to keep track of all the nitty gritty details. The tool also allows for simple and easy tracking of all payments (past and future), bookings and registration fees on both your end as well as the customer side.

🌟 Getting Started

To create your first Tuition ledger, navigate to Classes > Tuition ledgers > Add new tuition ledger. From here, you can add in the name and description of your ledger, and you will see the options to add installments and discounts to the ledger.

🌟 Adding Installments

Once you’ve created the name and description, you can move on to adding installments. Installments are selected dates that customers will make a payment for the class(es) and child(ren) that they registered for a specific season.

For example, let’s say that you run a kids dance studio and the season runs the same months as the school year (i.e. September through June). Instead of requiring that customers pay the total upfront before September 1st, you might offer monthly installments on the first of each month during that period. Clients can still choose to pay the total amount upfront, yet, the installments allows for more accessibility by offering smaller monthly payments. The installment amounts are based on the total cost of all of the semester/course class(es) someone signs up for, divided amongst the total number of scheduled payments. Installments will also automatically prorate payment amounts should a student sign up partway through the set semester dates, or if someone cancels one of their classes (all of these calculations will automatically happen on the back end!)

Navigate to: Classes > Tuition ledgers > Add new tuition ledger > Add installment to begin adding installment dates to a ledger.

🌟 Adding Discounts

Next up is adding discounts to your Tuition ledger. Within any ledger, you have the ability to assign one or multiple discount(s). Discounts can be based on number of children, number of bookings or average number of hours per week. For example, let’s say that your kids dance studio offers ballet, tap and jazz classes for different age ranges. Students can sign up for one or multiple class types, and parents can sign up one or multiple children. You might want to offer discounts if someone registers for two or more class types, and also offer a discount if a parent registers two or more kids. You can set these up here. Discounts can be set up as a percentage or as a fixed value, and will be taken off of the price that you have set within the semesters or courses themselves.

Note that, the system will automatically update a client’s payment amounts should any cancellations or additions happen after the initial booking. This means that you never have to worry about paying attention to each and every schedule change and doing the math to update payments.

Discounts can be added under Classes > Tuition ledgers > Add new tuition ledger > Add a discount.

🌟 Additional Settings

When creating a Tuition ledger, you will also have additional settings to decide on, including:

• Only allowing bookings via this tuition ledger, meaning any assigned semester or course associated must be paid using the ledger (aka customers cannot pay upfront or with payment plans).

• Setting a total tuition price cap, meaning that if customers signs up for multiple classes or with multiple children there is a maximum amount they would pay.

• Assign a registration fee per child, and decide if there is a maximum tuition fee a parent can pay. If you only want a parent to pay the tuition fee once, regardless of the number of children they register, you can set the registration fee and the maximum amount to be the same.

• Decide when registration fees should be collected — at checkout or at the time of first installment — as well as a No registration fee charge interval (aka if a customer signs a student up for one class, then decides within X number of days to add a class they wouldn’t be charged again).

Find these settings under Classes > Tuition ledgers > Add new tuition ledger > Additional settings.

🌟 Assign Semesters and Courses

Once you have all Installments, Discounts and additional settings competed, you can begin to assign the appropriate semesters and courses to your ledger. These will be all of the different classes that you want connected within this particular ledger (i.e. that are connected within a certain season, or if you have different pricing and discounts for adult classes vs child classes, you could separate them onto different ledgers).

After saving the initial setup of the ledger, click on the Semesters and courses tab to assign the appropriate ones for the tuition ledger you are setting up.

🌟 Customer Payment and Registration Details

Once you have customers signed up for semesters and courses within a Tuition ledger, you can go back to the Tuition ledger > Customers to see all the customer payment and registration details, such as the number of children and number of bookings a customer has. If you click into an individual customer within this tab, you can easily see all payments (past and upcoming) under the Installments sub-tab.

If a customer has a failed payment, this will clearly show for you to keep track of, and all succeeded payments are noted as well.

Within the Bookings sub-tab for any customer, you can easily see how much they have paid per booked semester or course. This will also note any discounts that were included with the bookings. The Registration fee sub-tab will show similar data to the installments and bookings.

🌟 Tracking Failed Payments

So that you don’t have to go into each individual client’s details within a ledger to track failed payments, there is also a Failed tuition installment payments report available. You can pull this report anytime and use it as a check to ensure all payments are being made.

To find this report, navigate to Analytics > Reports > Failed tuition installment payments.

🌟 What Your Customers See

From the customer dashboard, your clients will be able to see all of the details of the tuition ledger(s) they have signed up for. They can easily view all past and future installments, any failed payments, which bookings they have (and pricing), and what registration fees they have paid. Also within this page they can see the amount they have paid against the total amount due.

Note that customers can also sign up, pay for and see the details of tuition ledgers all right within the Momence mobile app!

We just launched a fresh new design on the checkout pages of the app. Crafted to make the user experience as easy and enjoyable as possible, you will notice sleek new sections with clear highlights around important areas and selections. This design isn’t for looks only, though, you will also notice that the speed of navigating through these selections has been enhanced, allowing your customers to move swiftly through required steps.

Waiver signatures:

Along with the design updates, we have also made a clear section for waiver signatures. This is now more prominent and clear on the checkout flow, and your customers now have the ability to sign by typing in their full name, versus simply checking a box.

Highlighting required fields:

An additional update is that the app will now highlight any required fields if a customer misses one as they are checking out. This makes it clear and easy for someone to see which part of the flow they need to fill in in order to continue checking out.

Introducing: Outbound Calling from the Momence Inbox ☎️

You can now make — and record! — outbound calls to your customers or leads from your Momence phone number. This means that you will be able to see and track anytime a phone call happens or is attempted right from your Inbox, enabling you and your team to work in unison without having to wonder if someone else already contacted a customer. Plus, having calls come directly from your Momence number will eliminate any confusion from a client receiving SMS messages from one number, but phone calls from another. Check out the steps below to get started!

P.S. haven’t set up your Momence phone number yet? Go to Settings > Phone number to request one.

Make and Track Calls to any Customer or Lead 📞

Navigate to Inbox > select customer > Call to start a phone call right from Momence. Any customer or lead who has a phone number linked to their account will be available to connect with. Once completed, the details of the call will appear within the chain of messages along with the recording of the call if you choose.

You can also find the details and recording from any call with a customer within the Messages tab of their customer profile.

Set Up Call Recording 🎤

You have the option to have Momence record all calls made from your Momence phone number. This can be an incredibly useful tool so that you and your team can refer back to past conversations when working with a customer or lead. Especially if you typically have multiple staff members on rotating on shifts who work your sales or follow up processes — instead of wasting time reaching out to each other to ask about particular conversations, your team can simply visit the customer or lead profile and listen to the recording to take action.

To turn on call recording, go to Settings > Phone number > toggle ON Record all calls.

Note: outbound calling is currently available in the US, Canada, UK, and Australia.

Stoke Customers’ Competitive Fire with Completion Stats 🔥

We all know the feeling…you are at the gym, or in a class and feeling like you might tap out. Suddenly, the person next to you is powering through — adding a little more weight to their rack or upping the speed on their treadmill — and that’s enough for you to tap into your energy bank and set a new PR. That little (or big) competitive spark is powerful, so giving your clients access to see where they sit among others with their completion stats can be fun and motivating!

This is now possible within the Momence app. Within the customer app, your clients can navigate to Workouts > Schedule > select workout > click on component > see completion stats. Be sure to share this new tool with your community, so they can join in on a little competitive fun.

The Power of Community 💪

There is a reason that people go to workout classes, versus working out at home — community. Especially post-pandemic, we all crave human connection, plus working out in a group causes motivation and accountability to push past your limits and get stronger. Your clients might get used to working out in a similar pod, and understand who they like to take classes with most. This is why we just added in the ability for customers to see which other participants are signed up for classes!

Now, within the customer app, anytime a customer is signing up for a class with a workout attached, they will be able to click the participants button to see who is already booked.

Respecting Customer Privacy ⭐️

We understand that not everyone wants to have their details shown to other customers. Note that each client has the ability to turn the Visible in workouts option off if they’d like. They can do so from the Momence app > Account > App settings > toggle Visible in workouts OFF.

This is why we just added in the ability to send healthcare invoices directly to the provider with one click 💥

You now have the ability to attache an insurance provider name and email to any customer account. To do so, navigate to the customer’s profile > click the ‘edit’ icon next to their name/customer photo > Insurance tab > enter insurance provider details.

From there, anytime that customer comes for a service that the insurance provider covers, you can click generate healthcare invoice within the appointment details. Within that section, you will find the deliver to insurance provider email option. The provider email will automatically populate from whatever was entered in the customer’s profile, and the healthcare provider will receive the invoice PDF with the details of how to pay. Note that you will also have this option if you go to past appointments within a customer’s history.

Now, you and your staff will be able to easily see and use this option when closing out any appointment service, so you don’t have to remember to send the PDF after the fact, or rely on your customer to send the details to their provider.

You can also add your bank account details to streamline payments 💰

Another new feature to make insurance payments seamless is that you can now add your bank account details so that providers can easily wire payments directly to you. To set up this option, go to Settings > General set-up > scroll down to Healthcare provider codes > enter bank account details.

Easily Change Class Templates

We understand that your class schedule is always changing. Making those changes easily and efficiently can make a big difference in your day-to-day. This is why we just added in the ability to change class template when editing a one time occurrence of a class.

If you have ever had an instance where a teacher agrees to sub a class, but they need to change the style or format, you understand how useful this will be. Instead of needing to copy and paste all of the information and details associated to the style the sub teaches, you can now simply select change class template, which will automatically populate all of the content for that template.

To use this new function, go to the class you want to change > actions > edit this class > change class template > select new template.

Automate Appointment No-show & Late Cancellation Fees

You can now automate the charges for late cancellations and/or no-shows for appointment services. Previously, these settings were available for classes only, but we understand how valuable it is to have these charges be automatic. Eliminating the need for you or your staff members to manually charge fees saves time and also ensures that your policies stay in integrity.

To set up your cancellation policy and automatic charges for appointments, go to Settings > Cancellation Policy > Appointments.

From here, you will be able to decide on your cancellation policy for appointments, the Cancellation credit cut-off time and Late cancellation period within that policy, and set up any auto-charge rules that you prefer.

Auto-retries for No-show and Late Cancellation Fees

We understand the importance of creating policies and sticking to them. However, it can be challenging to enforce rules when you or your team is needing to do manual checks and retries for failed payments. We’ve just eliminated the need for those manual steps with the new Enable auto-charge retries option within your cancellation policy settings. If you toggle this option on, Momence will automatically attempt to re-run a client’s card up to three times if their first payment fails for a no-show or late cancellation fee.

To turn this setting on, navigate to Settings > Cancellation Policy > Settings > Enable auto-charge retries. From there, you will be able to adjust the number of days between failed payments in any way you choose. Note that this setting can be turned on for both classes and appointments fees.

A Tour of the Dashboard

Manage Franchisee Locations

Within the Corporate Dashboard, you will have the ability to manage all franchisee locations. From your Franchisees page, you will see the list of all individual franchisees within your corporation. You can click to see the detail of each of the franchisees, or choose to open up the associated Momence dashboard.

Within the details of any franchisee location is where you can see and edit royalty fees for that branch and view specific insights for that location.

You can also create regions within the franchisee section of the Corporate Dashboard. This enables you to organize your franchisee locations by country, region, or any other grouping that makes sense for you and your customer base.

Royalty Fees

One of the biggest benefits of the Momence Corporate Dashboard is the ability to manage royalty fees charged to franchisee locations, and the fact that these fees are taken at source when royalties are percentage based. From the Royalties > Charged fees section of the dashboard, you can easily see all charged fees broken down by date, amount, franchisee location, type of fee, and payment status. You can also run reports and/or export these details for review.

From the Royalties > Manage fees section, you have the ability to see the list of different royalty fee types you’ve created and their details (i.e. royalty fees, brand funds, tech fees, etc). You can also create new ones using the Add royalty fee option.

When creating a new royalty fee you will select which stripe account the fees get paid into, as well as if the fee is percentage based, constant, or one-off. For percentage based and constant fees, you can also select if you want to have the fees transferred in batches (ex. every week or month), or leave this toggled off if you prefer for transfers to happen at the time of each transaction.

One of the most valuable features of the Momence Corporate Dashboard is the fact that all percentage based royalty fees are taken at source, meaning that they are taken out right at the time of payment, versus needing to be charged to the franchisee location after the fact. This is incredibly beneficial because it eliminates additional payment processor fees, and it removes the chance that the franchisee will not have the funds available to pay once you charge them.

Corporate Analytics and Insights

The Momence Corporate Dashboard gives you access to analytics and reporting across all locations. From the Analytics > Insights page, you will find key metrics and graphs so you can get a full picture of how your overall business is doing in the most important areas. You can view these numbers for all locations, easily select specific regions, or hand select one or multiple franchisees to measure.

Within Analytics > Reports, you can pull a report on all charged royalty fees, and a combined KPI report for all franchisee locations across any selected date range.

Manage Staff Accounts

The Corporate Dashboard gives you access to control all staff accounts and what permissions each of them has. You can create new standardized roles across all locations, or give more access to the franchisees to control their permissions on their own. You also have the ability to create corporate roles and make it so that franchisees cannot modify the permissions of those specific roles.

AI Insights

The newest innovation included within the Momence Corporate Dashboard is the AI Insights feature. This is a brand new tool that eliminates the need to go digging within the details of multiple franchisee locations for answers to questions you have. Instead you can simply type a question within the chat and the tool will produce the answer.

The system is trained to know about your business and all of the branches, and it continues to learn the more questions you ask it. You can begin by asking one of our pre-built questions (as shown below), or you can ask any other question you would like (such as, “what is the top selling product within the northeast region” or “what is the lowest attended class template” for example). The AI Insights tool has the ability to save you massive amounts of time that you would have previously spent digging through multiple reports at numerous different locations. The chat will provide clear and simplified data to help you to understand your business on both the macro and micro levels.

If you are not already familiar with staff tasks, they are a built in tool that allow you and your team to create, assign and complete to-do items all right within your Momence dashboard. Gone are the days of needing text threads, email chains, and sticky notes galore! Since you know everyone from your team will log into their Momence dashboard, you can keep action items clearly organized and backlogged if you ever need to refer back to them, plus you can even assign tasks to a particular customer or class within your system as well.

Staff tasks have gotten upgrades over time, such as the ability to assign staff tasks to multiple people and the ability to create staff tasks as actions within any marketing sequence, and now you can even bulk assign tasks by role or location within sequences.

There are a plethora of ways that staff tasks can be used to make you and your team’s lives easier, and we just added one more!

Make any Inbox Message a Staff Task

You now have the ability to easily create any message within your Inbox as a staff task! We know that the inbox is an invaluable tool in communicating with your customers through emails, SMS, app messages and more. And oftentimes, messages within your inbox might lead to an action item that you or someone on your team will need to complete (i.e. send the customer more details about your upcoming retreat, or book customer into class for free so they can decide which membership they want after, or reach out on X date about teacher training, and so on).

Previously, you would have needed to go into your tasks and created from scratch based on what was discussed. However, now you can click the add task icon next to any inbox message and the system will automatically populate the content from the message into the task! To start using, navigate to Inbox > select conversation > hover over the message you want to use and click the ‘add task’ icon.

From there, you will see that the content from that message is already entered within the task, with the customer pre-selected as well. You can then add in the additional details that you’d like and assign the appropriate staff member, etc.

When you or your staff opens up the assigned task, you will then be able to click to Open whole conversation, which will guide you right to the spot within the inbox conversation that the message happened. This is useful in case there is additional context needed from back and forth messages before or after the selected message.

This new capability enables communication between you, your staff and your customers to be as seamless and efficient as possible. Knowing that you have all of the different pieces of context from a conversation all in one place versus on different email chains, text inboxes, etc. makes it so anyone from your team can jump in to help without a whole bunch of additional followup and chasing of information. The more you push conversations to go through your Inbox, the more streamlined it will all be!

Check out the newest updates and enhancements to Momence Appointments below!

Allow Overlapping Appointments

You can now allow certain appointment services to have overlapping bookings and set exactly when that overlap can be scheduled for. For example, let’s say you are an acupuncturist, and you know that you only need the first 30 minutes to be with a client to discuss their needs and put the needles in, and then the rest of the appointment they are left alone in the room to absorb the benefits. You can now set that exact amount of overlap time, so that clients can book their 60 minute acupuncture appointment with a 30 minute overlap.

This new setting allows you to optimize your time and maximize your revenue, without you having to do manual work on the backend. To start using this new option, navigate to Appointments > Services > Select service > Edit > select Allow Overlap.

Choose Maximum Number of Concurrent Reservations

With the ability to allow for overlapping appointments, it is also likely important for you to be able to decide the maximum number of appointments that can happen at the same time (i.e. if you can only manage going back and forth between two clients at a time). You can now set this using the Limit max. concurrent reservations within each service, per board.

You can turn this option on under Appointments > Services > Select service > Edit > toggle on Limit max. concurrent reservations.

Assign Add-on Services to Specific Staff

We understand that certain members of your staff may have specific specialties or credentials that allow them to provide add-ons that other team members cannot. For example, maybe you have one massage therapist who specializes in myofascial deep tissue release and offers this as an add on, but your other practitioners do not offer technique. You can now select which members of your team are eligible for particular add-on services to help with scenarios like this.

You can select which instructors are eligible for a specific add-on from the add on page itself by going to: Appointments > Services > Add-ons > edit add-on > Assign instructors.

Or, you can select which add-ons a certain staff member can provide from their instructor page (Settings > Instructors > select instructor > Appointment add-ons > Assign specific add-ons).

Edit Staff Availability for Multiple Services at Once

We’ve also just made it way easier to edit staff availability for multiple services at one time. Previously, you would need to edit the instructor’s overall availability (for all services), or you would need to go into each service individually to assign when they could be booked. Now, from the Instructor page, you can multi-select different appointment boards and add availability times from there.

To use this function, navigate to Settings > Instructors > select instructor > Appointment boards > select which boards you want to edit > Add availability times.

Our latest enhancement allows you to get super fine-tuned with who you are contacting and with what messaging, depending on how they’ve interacted with previously sent emails. You will now find within the True/false condition section options for Emily opened, Email sent, and Link in email clicked. Read on for more details about each of these options and how they can best serve you.

Email Opened

With the email opened T/F condition, you can now specifically retarget anyone who has opened a particular email that you sent, but hasn’t taken action based on the messaging of the email. For example, let’s say that you have a sequence based on the expiration of your intro offer. Your messaging shares about your unlimited membership being the best next step for them and how to sign up. Now, you can send an additional message within the next day or two using the email opened true/false condition. For clients on the true side (aka they opened the email about your unlimited membership) you might consider messaging along the lines of, “Curious about the unlimited membership, but want to talk to someone before committing? Respond to this message and we’ll give you a call!” Or, you could take it one step further and add in a staff task to call the customer and check in about their hesitations. Then, on the false side, you might consider just resending the same messaging as before, but with a new subject line in hopes of catching their attention this time! Note that you can use this T/F condition in conjunction with an overall counter condition on the entire sequence so that, once a customer does purchase the unlimited membership, they are removed from any additional messaging.

Email Sent

The email sent true/false condition can be used in a variety of ways, and one powerful option is to use this as a check to ensure you are not duplicating the messaging you are sending to a customer. For example, maybe you sent a specific marketing message out to a customer segment as a one off email, and then you decide to build that message into your sequences. You could add the T/F condition of email sent and only send that sequence message out to folks on the false side. Alternatively, if you are simply trying to retarget anyone who received a specific message from you, regardless of if they’ve opened or not, you could use the true side of this condition.

Link in Email Clicked

Similar to the email opened condition, the link in email clicked option allows you to dial down even further in your retargeting efforts. It’s safe to say that clients get so far as to click the link of something you are offering are interested in some way. Therefore, adding additional messaging, specifically to the folks who clicked the link, with a push to buy can be very affective! You might want to try the same tactic as mentioned above, asking if the client wants to get in touch to discuss their options, or you could also consider adding in a promotion or special discount to sweeten the deal and promote action. Again, this T/F condition can be used in conjunction with an overall counter condition on your whole sequence so that customers who’ve already purchased the item are removed from any additional messaging.

Selecting a Template

For any of the above true/false conditions, you will also have the option to select the particular email template (previously created by you) that you want the condition to link to. You can also leave this option on any template if it makes sense to.

To begin using these new true/false conditions, navigate to Marketing > Sequences > Create a new sequence or select one you’d like to add to > Add step > Add condition.

From your end, all you need to do is select any class template(s) that you want associated when setting up that workout. For example, maybe you have different class types each day, such as Peak, Strength and Yoga. Maybe for your Peak and Strength classes you always have workouts associated, all scheduled by day of the week. In the example below, you will see that there is a Monday Peak workout, so you would want to associate it with your Peak class template. Then the system will automatically link that workout to any classes from that template which happen on the same day that the workout is scheduled.

To create a workout with a class template associated, go to Workouts > Workout list > New workout (or edit a previously created workout) > click the Class templates section to select.

Once a class template is associated with a workout, anytime that workout is scheduled on the same day that the selected template(s) are scheduled, they will be correlated. When a customer signs up for a class within the connected class template, they will then see the related workout and be able to easily click to open and start the workout and track their progress.

What’s new for the desktop dashboard:

1. You will see that the navigation toolbar can be minimized into a sleek, collapsed column of icons. This view supports you in maximizing what you can see on the page you are currently viewing or working from.

   

2. On the righthand side of the bar, you’ll see an arrow, which allows you to expand the toolbar to see the written categories, or collapse to go back to the icons-only bar.

   

3. From either the expanded or collapsed view, you now have the ability to hover your cursor over any of the icons or categories to easily see and click into the sub-categories within it. You can also choose to click on any of the main categories to have the sub-categories box lock on the screen until you choose where to navigate next.

   

4. We’ve also optimized the organization within the larger categories, such as the marketing suite, to keep things more clear for you and your team.

   

Updates on your mobile devices:

1. To optimize the space you have from your mobile phone or tablet, the navigation bar is now able to be fully collapsed into just an icon at the top of your screen. When you open up your dashboard on a mobile device, you will now see an icon with three lines in the top left, next to your business logo. Tap the icon to open up the navigation categories, and then tap into any of the categories to continue further. At any point, you can tap the navigation icon again to minimize all of these details, giving you more space to view and work from on your device screen.

With our newest update to the Bookkeeping App, you now have the ability to map your different revenue categories on a more micro level when integrating with Quickbooks (Xero coming soon!). This allows you to continue organizing the categories you have within your accounting software in the same way you always have, making the breakdowns of revenue clear and concise for the areas that are important to you.

For example, within the overall category of memberships, maybe you like to track all of your class packs, recurring memberships and teacher training memberships separately. Or, it could be useful to split up any virtual versus in-person classes within the overall classes category.

You can now easily do this under Finances > Bookkeeping > Connect > Quickbooks. From there, if you click the dropdown arrow next to any category (i.e. Memberships, Classes, etc) you can then select as many items that you want to categorize together. Once you’ve selected all of the items in the group, you can assign them the proper Quickbooks account (or class, depending on which you use in your software) by selecting the appropriate + Assign button.

A pop-up will appear where you can select the appropriate account/class from your pre-created categories within Quickbooks. Once you have your items assigned, all of your deposits will be mapped and reconciled accordingly, so you can keep track of everything easily and in the best way for you.
